How To Create an Email Signature In Canva (Easy Steps!)

But who has time to fiddle around designing one from scratch?
Luckily, Canva makes it super simple to create a fabulous email signature in just a few minutes.
With Canva’s drag-and-drop tools and a massive library of fonts, images, and icons, you can easily customize a signature that reflects your personal brand.
In this quick tutorial, I’ll walk you through how to create an email signature in Canva, step-by-step.
You don’t need any design experience – it’s as easy as pie!
By the end, you’ll have a signature you can’t wait to attach to your outgoing emails.

1. How To Create an Email Signature In Canva
Follow the below steps to create an email signature in Canva:
1. Open Canva
Visit Canva website.
If you already have a Canva account, log in using your credentials. If you’re new to Canva, sign up for a free account.
2. Create a Blank Canvas
After signing up or logging in to Canva, you’ll be directed to the Canva Homepage.
Click on the ‘Create a design’ button located at the top right corner of the page. This will open a new menu of various design types in front of you.
Search for ‘Email Signature’ from the top search bar and then click on it.
Or if you want a specific dimension for your design then click on the ‘Custom Size’ button from the left bottom corner of the new menu.
Set the dimensions according to your need and then click on the ‘Create New Design’ button.
After opening a design type, you will be directed to a blank canvas.
Note: The standard size for an email signature is often around 300–600 px (width) and 150–200 px (height).
3. Add a Background
Once you are on the blank canvas, you can either choose to use a template and then customize it according to your need or start building an email signature from scratch.
But For this article, I will be creating an email signature from scratch without any template.
To add a background to your blank canvas, click on the canvas ones and a top toolbar will appear in front of you. Click on the ‘Background Color’ button from the top toolbar, this will open a new color menu in front of you.
Then you can either choose a color from the ‘Default Colors’ or use the ‘Color Picker Slider’ to create a new color. When you find a color that you like, click on it to add it to your background.
Or if you want to add an image as your background, then you have to click on the ‘Apps’ button from the left sidebar and then scroll down to click on the ‘Background’ button.
Canva will now display a variety of pre-made images that you can use as your background.
.Either use the search bar to find a specific background image or simply browse through the available options.
Once you’ve found a background image that you like, click on it to apply it to your design.
Note: If you want to create an email signature with transparent background, then you can skip this step.
4. Add Your Profile Photo
Follow the below steps to add your profile photo to your email signature:
a) Upload Your Photo
To upload your photo, click on the ‘Uploads’ button from the left-hand sidebar and then on the ‘Upload Files’ button.
Once the image gets uploaded in Canva, It will show under your uploads library. We will later add this profile photo into a frame.
b) Add a Frame
To add a frame for your profile photo, click on the ‘Elements’ button from the left sidebar and search for the ‘Frames’ option from the top search bar.
Click on the frame you like the most to add it to your canvas.
For example, I will be using a circular frame for my design as it looks more professional.
c) Add Your Image To The Frame
Once you have your frame and image in front of you, it is time to add the image onto your frame.
Simply drag and drop your uploaded profile photo from earlier into the frame on the canvas.
Now you will see the photo appear over the frame you added earlier. If you are not satisfied with how your image looks on the frame then you can also reposition it.
To reposition your image, double-click on the image. then while pressing the left key of your mouse drag the image left or right according to your need.
d) Add a Border
To make your email signature even more creative, you can also add a border around your image.
Click on the ‘Elements’ button from the left sidebar and search for the ‘Shapes’ option from the top search bar. You can click on any shape that you like the most to add it to your design.
Note: We will later use this shape as a border for your image. So, it is important to choose a shape that complements your frame. So, for this step, I will be taking a circular shape to match my frame.
You can also change the color of the shape as per your need. Just click on the shape ones and then on the ‘Color’ button from the top toolbar.
This will open a new color menu in front of you. You can either choose a color from the ‘Default Colors’ or use the ‘Color Picker Slider’ to create a new color. Click on the color of your liking to change the existing Color of the shape.
After changing the color of the shape, it is time to resize the shape and use it as a border for your image,
To resize the shape, click on the shape ones and then drag the corner of the boundary box away from the element to make it bigger.
Make sure to make the border a bit bigger than your frame.
To use the shape as your border, drag the frame behind the circular shape and then click on the element. As a result of which a top toolbar will appear, click on the ‘Position’ button from the top toolbar.
And then click on the ‘Backward’ button from the new menu. Now you will see the shape acting as a border for your image.
5. Add Your Information
Now it is time to add your information to the email signature such as your name, designation, website, contact details, and social media handles.
a) Name
Click on the ‘Text’ button from the left-hand side toolbar. A new menu with various text formats will appear in front of you.
Under ‘Default Text Styles’, click on the ‘Add a Heading’ button to add your name. After adding the name, you can also use the help of the top toolbar to change the font size, font style, color, etc of the text.
Note: In my opinion ‘BEBAS NEUE’ is the best font style for creating headings in email signatures because it capitalizes all the alphabets and pairs well with other fonts style as well.
b) Designation
From the new menu with various text formats, under default text styles, click on the ‘Add a Subheading’ button and then type in your designation.
Note: Click on the designation ones and a top toolbar will appear in front of you. Click on the ‘Font Style’ button to change the font styles to ‘Migra Extralight’, or ‘Tenor Sans’.
c) Contact Details
Once you have your name and designation in place, it’s time to add your contact details to your email signature.
Contact details include your phone number, email id, and address.
To add contact details, click on the ‘Text’ button from the left sidebar and then click on the ‘Add a Little Bit Of Body Text’ button. Now you can start typing your contact details one by one.
Note: Make sure your contact details are smaller in size than your designation and name. Click on the contact detail ones and from the help of the top toolbar click on the ‘Font Size’ button and then reduce the font size of the contact details accordingly.
6. Add Decorative Elements (Optional)
You can also add decorative elements to your design to make it even more stylish.
On the left sidebar, click on the ‘Elements’ button to access various pre-made elements.
You can now explore the various categories like ‘Shapes & Lines’, ‘Graphics’ ‘Social Media’, etc to find the decorative elements that suit your design the most.
You can also use the top search bar to search for a specific element that you want. Once you find the decorative element that you were looking for, click on it to add it to your design.
Once you’ve added a decorative element to your canvas, click on the element once then change its color, transparency, etc from the top toolbar according to your need.
7. Download Your Design
When you’re satisfied with your design and ready to save your email signature, click on the ‘Share’ button in the top right corner of the screen and then again on the ‘Download’ button.
A new menu with downloading options will appear in front of you, If you want to save the design with transparent background then make sure to tick the ‘Transparent Background’ option before downloading.
And then click on the ‘Download’ button again at the end.
Create Clickable Icons For Your Email Signature
Now you have your email signature ready, you can now move ahead to create some social media icons for your email signature.
Just follow the below steps.
1. Create a Small Document For Your Icons
Once you are on the Canva homepage, click on the ‘Create a Design’ button and then on the ‘Custom Size’ button from the bottom left corner of the new menu.
Now you will be asked to set the dimensions for your clickable icons. Use 50 px (width) x 50 (height) px dimensions and then click on the ‘Create New Design’ button. You will now be directed to a blank canvas.
2. Add Icon Elements (For Social Platforms)
After being directed to the blank canvas, click on the ‘Elements’ button from the left side toolbar. Now use the search bar to search for the social media icon that you need.
For example, for this page, you can search for an ‘Instagram logo’ And then click on the logo you like the most to add it to this page.
Then click on the ‘Add Page’ button from the bottom of your screen. As a result of which a new blank page will appear in front of you.
Now for the 2nd page, search for ‘Facebook logo’ from the search bar and then click on it to add it to the new page.
Note: keep adding pages until all the icons that you want are added. Just make sure to insert one icon per page.
3. Edit Icon
If you want to change the color of your icon, click on the icon ones and a top toolbar with various editing buttons will appear in front of you.
Click on the ‘Color’ button from the top toolbar and then on the color you like the most to add it to your design.
4. Download Your Icons In PNG (Transparent)
Once you get satisfied with the Icons in front of you, click on the ‘Share’ button from the top right corner of your screen and then follow the downloading step mentioned before (refer to step 8).
Note: make sure to set the file format as ‘PNG’ and tick the ‘Transparent Background’ option before downloading.
Uploading E-mail Signature to E-mail Account
After saving your email signature and clickable icons on your desktop, it’s time to add them to your e-mail account.
1. Open Gmail Settings
Open Gmail and log in to your account.
Once you are inside your G-mail account, click on the ‘Settings’ button from the top right corner of your screen.
This will open the ‘Quick Settings’ menu, click on the ‘See All Settings’ button to proceed further.
2. Give Signature Name
In all settings, scroll down to look for the ‘Signature’ option. Once you find the option, you will see a ‘Create New’ button on the right side.
Click on the ‘Create new’ button, set the name of the new signature, and then click on the ‘Create’ button.
For example, I am setting ‘Akshat Gupta’ as my new signature name.
3. Add Social Media Icons
A blank box with various buttons at the bottom will appear in front of you.
Click on the ‘Insert Image’ button from the bottom of that box and upload your clickable icons from your desktop to your e-mail.
Once it is uploaded you will be able to see it in the box in front of you.
Note: Follow the same steps to upload as many clickable icons as you want.
4. Add Email Signature
To upload your previously made email signature on e-mail, again click on the ‘Insert Image’ button from the bottom of the box and upload your file.
Now you will be able to see your inserted signature in the same box above the social media icons.
5. Link Your Social Media Accounts
Once you have all the clickable icons and email signatures uploaded in the box, it’s time to link them to your social media accounts.
By pressing the left key on your mouse, drag your cursor over the clickable icon in the box. As a result of which your icons will get highlighted.
Click on the ‘link’ button from the bottom of your screen or use the keyboard shortcut (ctrl + k).
This will open the ‘Edit Link’ menu in front of you, insert the URL of your social media account in the box opposite to ‘Web Address’ And then click on ‘OK’ from the bottom right-side corner.
Note: Repeat the same process to add links to all social media icons.
6. Save Changes
Once you have linked all the social media accounts to your icons. It’s time to save your changes.
Scroll through all the settings and click on the ‘Save Changes’ button at the end of your screen.

1. What Is The Perfect Size For Email Signature?
300 x 600px is considered a good size for email signatures. To create specific dimensions design in Canva, click on the ‘Create a Design’ button and then on the ‘Custom Size’ button from the left bottom corner of the new menu.
Set the dimensions as mentioned and click on the ‘Create New Design’ button.
2. Why Is My Canva Email Signature Blurry In Gmail?
Your Canva email signature can sometimes get blurry in Gmail due to the low quality of the image that is uploaded to create an email signature on Canva. Ensure that the image you use while creating the email signature has a high resolution (usually 300 DPI) to maintain clarity in email signatures.
